Overview
Lifestyle Propery People are seeking a highly organised and proactive Personal Assistant to support the Director in a dynamic and fast-paced environment. The ideal candidate will possess exceptional administrative skills, attention to detail, and the ability to manage multiple tasks efficiently. This role is pivotal in ensuring the smooth operation of the Directors needs, someone who is willing to do all tasks from mundane to complex. It requires a professional with excellent communication skills and a strong understanding of office procedures, willingness to work with the wider team as one team.
Role Responsibilities
- Ensure Director’s emails, diary and ‘To Do’ list are up to date
- Respond to emails and Whatsapp messages throughout the day
- Ensure all Calendar entries have the correct invitees and location/zoom details etc.
- Liaising with the team, suppliers and clients on behalf of the Director
- Support the wider business with administrative tasks when required
- Delegate work to the Team in the Director’s absence with consideration
- Implement and maintain business processes and procedures
Example Tasks
- Reading, monitoring, and responding to the Director’s emails
- Managing the Director’s diary and ensuring he is well prepared for all calls and meetings
- Managing and updating projects on Asana
- Refreshing bank feeds on Xero
- Collating information and updating ongoing project files and metrics (Asana & Excel)
- Preparing PowerPoint and Canva presentations
- Creating and reviewing contracts on behalf of the Director
- Sourcing and ordering items online, e.g., stationary, IT equipment, gifts
- Writing, editing and reviewing outgoing correspondence
- Liaising with various HODs to update the Director’s Dashboard for the company

- An Under-Promise-Over-Deliver attitude
- Proficient in Microsoft Office
- Proficient in OneDrive/Dropbox
- Proficient in Asana
- Proficient with Excel spreadsheets (macros. complex formulas, conditional formatting, etc)
- Positive, can do attitude, happy to complete all tasks in the manner CEO asks
