Overview
The Project Assistant supports the Project Manager and the wider projects team across project support, finance, purchasing, and stock room management. This role ensures smooth project delivery, accurate reporting, and effective coordination with suppliers, site teams, engineers, and internal departments.
Project Support
- Provide daily operational support to the Project Manager across all active projects.
- Attend project meetings; document actions, updates, and changes.
- Help to maintain all project communication channels (email, phone, WhatsApp groups, Cliq chats).
- Keep projects platform (Zoho) updated: create projects, input and assign tasks, file documents, manage budgets, and maintain project progress status.
- Assist in preparing and distributing monthly project reports.
Finance
- Draft and send all project stage invoices and track payment plans.
- Follow up on outstanding payments and update the PM & finance team.
- Prepare and send monthly labour invoices based on accrued engineer hours where relevant.
- Attend finance meetings and assist the PM with financial documentation and reporting.
- Monitor payment deadlines and support project budget tracking.
- Track and recharge project travel and expenses
Purchasing
- Place, track, and manage purchase orders for all project and stock requirements.
- Forecast procurement needs in collaboration with the Delivery Manager.
- Liaise with suppliers to negotiate pricing, delivery timelines, and stock availability; maintain strong supplier relationships.
- Follow up on open orders and ensure timely delivery of materials.
- Help to manage internal change orders and variation workflows.
- Process RMAs for faulty or incorrect items.
Stock Room
- Manage stock requests from Delivery Manager & site teams, ensuring fast and accurate fulfilment.
- Maintain an organised, tidy stockroom with clear labelling and accurate inventory records.
- Conduct pre-order stock checks to ensure existing materials are used before placing new orders.
- Track all stock movements and manage the checkout process together with the Delivery Manager.
- Support the implementation of improved inventory systems across racking and digital tools.
Skills & Attributes
- Highly organised, accurate, and able to manage changing priorities.
- Strong communication skills for coordinating with suppliers, engineers, site teams, clients, and internal stakeholders.
- Confident using project management and finance systems (Zoho experience advantageous).
- Proficient in Microsoft Office, including strong Excel skills for reporting, tracking, and data management.
- Proactive, reliable, and supportive - committed to keeping projects running smoothly and successfully.
