Overview
We are seeking a highly organised and proactive Executive Assistant for a fixed term contract to cover an existing role, starting late November until March 2026 (due to extended leave). The EA provides comprehensive support to our directors and research team, and in the next few months will also be involved in the ERP's public launch and board recruitment drive. The ideal candidate will possess strong administrative skills, be adept at managing multiple tasks efficiently and working with a wide range of stakeholders to enable smooth team working.
Duties
Executive Director support
- Acting as first point of contact and gatekeeper for Directors and ensuring that ERP is represented with the utmost degree of professionalism
- Inbox prioritisation, flagging important conversations or decisions and acting as a first line of response to incoming messages; managing and monitoring task lists when requested; managing expenses
- Meticulous diary management for the Directors, including proactively managing day-to-day and longer-term scheduling
- Support for research team recruitment (administration, interview planning)
Research Team support
- Booking travel & accommodation, including preparing itineraries
- Diary support for cross-team meetings (eg focus groups, monthly team meeting)
- Organising logistics for in-person meetings and retreats, including booking venues, catering, arranging technology and equipment
- Supporting the management of ERP’s virtual team technology platforms, such as Google Workspace, and other tools; supporting the team to use IT systems effectively
- Supporting ERP Board and team with onboarding new joiners
- Helping to foster a strong organisational culture
Communications
- Coordination of support for webinar and report launch on 05 December, working with external suppliers and ERP team.
- First point of contact for enquiries; maintain records; ensure follow-up.
Board Recruitment
- Administrative support for the recruitment of new non-executive directors, including advertising and organising interviews
Other: any other reasonable tasks requested.
Essential skills and experience
- Proven experience as an EA at senior level; confidence to support senior leaders in a fast-moving environment
- Excellent communication and relationship-building skills in a multi-stakeholder environment
- Excellent organisational skills, pro-active, with attention to detail
- Strong diary management skills; proficiency in Google Suite and familiarity with AI productivity tools
- The ability to work flexibly, proactively and independently
- An ability to maintain discretion & confidentiality and handle sensitive information with professionalism
- Interest in sustainability issues and/or international development
- A commitment to equality, diversity and inclusion
Desirable skills and experience
- Experience working in a communications or marketing environment
- Digital communications, social media content management
- Work experience in academia and/or scientific research organisations
- Work experience in non-profit organisations in the sustainability and/or international development sectors
