This critical role provides first-class support to the HR Director. Having complete responsibility for efficient diary and in-box management, ensuring the effective juggling of commitments & priorities, this person is a vital point of contact and a key liaison & conduit of information between the HRD and other senior leaders / managers and the wider business. The HRD also provides strategic HR leadership to BBCS Studios UK Region and this role will require close collaboration across UKTV and BBC Studios leadership teams. The role also provides support to the wider UKTV Senior HR team as required. The role is part of a wider collection of PAs across the business and will therefore work in close partnership to help coordinate activity across the team, contribute to team unity and ensure a common culture & ways of working. Experience, knowledge and skills
- Experienced in providing PA support at a senior level dealing with highly sensitive & confidential information.
- Proactive, personable, and confident; willing to speak candidly and constructively challenge.
- Excellent written and verbal communication skills, with ability to communicate clearly and concisely with people at all levels across the business internally and externally.
- Strong, demonstrable administration and IT skills with intermediate proficiency in Microsoft packages and an advanced understanding of MS Outlook.
- Ability to work collaboratively with colleagues across a number of departments and services.
- Discreet and inspires trust & confidence amongst colleagues.
- Demonstrates an awareness of the various business sensitivities and reflects this in their approach to problems and issues that arise.

Complete responsibility for diary management and management of HRD’s inbox, ensuring priorities are flagged and actioned.
- Uphold complete confidentiality, and act as a key confidante for the HRD.
- Attend and play a proactive role in the HR team meetings assisting the HRD in managing relevant meetings; including agendas and capturing & circulating key actions & decisions.
- Organises all meetings both internally and externally; including calendar management, agenda circulation, ensuring key attendees are present, preparing any necessary documentation etc.
- Arrange venue hire and travel where necessary.
- Support the wider senior HR team with diary management and the delivery of key people and culture related projects, events and communications as required &/or desired.
- Own and maintain the HR project plan and cyclical calendar, supporting the HRD with planning and monitoring progress against the delivery of key strategic initiatives and operational activities.
- Be proactive in adapting to different needs and suggesting new and innovative procedures, approaches, and ways of working to solve departmental challenges and pressure points for the HRD and wider HR team.
- To help harness and foster team spirit and collaboration, including the organisation of team events and activities.
- Use the “Core HR” system to a) collate and process expenses on behalf of the HRD, and b) organise and approve holiday requests & sickness days for the team, on behalf of the HRD
- Raise Purchase Orders in accordance with UKTV’s financial guidelines and keep track of HR/Recruitment invoices
- Provide top-level, “light touch” T&E tracking & reporting for the total group in aggregate, with support from Finance, in order to give the HRD an overview of spend & activity across the whole team.
- Providing ad hoc PA cover to other teams within the business as and when necessary.
